Renewing your Coach Level (AC, CiRF, L2 and beyond) Licence

The following four steps are require to renew your licence and receive your card.

This information and relevant links is included in the renewal emails issued from the licence system.

When you have completed the relevant steps and the licence process is complete, you will receive a confirmation email.

Your licence card should arrive within 6 weeks of receiving this email. If not, please contact: coaching@scottishathletics.org.uk.

STEP 1 – Complete a PVG Check or Self Declaration

Athletics Coach (inc L2 or beyond)

With an SA affiliated Club?

If you are:

  • In regulated role, please contact your club’s Welfare Officer who will guide you through this process.
  • Not in a Regulated Role – please complete the online Self Declaration form*.

Not with an SA affiliated club?

If you are:

  • Delivering activity linked to scottishathletics – please contact pvg@scottishathletics.org.uk to discuss the options for your circumstances.
  • Not delivering activity linked to scottishathletics – you are not eligible for a scottishathletics PVG check. Please complete the online Self Declaration form*.

Coach in Running Fitness

With an SA affiliated Club?

If you are:

  • In regulated role, please contact your club’s Welfare Officer who will guide you through this process.
  • Not in a Regulated Role, please complete the online Self Declaration form*.

Not with an SA affiliated club?

  • All other Coach in Running Fitness  – complete online Self Declaration using this form: Self Declaration*

*Will be issued with and O18 licence card.

DBS is the English/ Welsh equivalent of a criminal record check in Scotland.

In no situation should a Scottish based Leader/ Coach progress an application to DBS. 

STEP 2 – Complete Mandatory Safeguarding & First Aid and Updates for Licence Renewals Tier 2

Find and Purchase Mandatory Training (Tier 2) on Athletics Hub

  • Use the following link to purchase the required courses: MANDATORY SAFEGUARDING & FIRST AID TRAINING AND UPDATES FOR COACH LICENSING RENEWALS (TIER 2).
    • When booking, please make sure to select the date/ time that is most suitable for you to complete the Safeguarding course.
  • You will be prompted to log in to Athletics Hub to complete your purchase. You will need your URN (on licence card) or email address and password.
  • Courses can also be accessed using the Qualifications & CPD option on the left hand menu in Athletics Hub.

Once you have purchased your Mandatory Training (Tier 2), you can access it via Athletics Hub.

  • Once you log in, it will open on the ‘My Dashboard’ Page.
  • On the left hand menu, click on ‘Online Courses’.
  • Select ‘Go To MyLearning’:
    • Select the ‘Mandatory Training’ module and complete all elements (including the declaration).
    • n.b. please check the ‘Activity Completion Status’ in the box on the right hand side of the screen is showing all required elements are complete.

STEP 3 – Upload or Renew Your Photo and Check Your Personal Details
  • Log in to myathletics portal, it will open on the Summary page.
  • On this page, check that all your details are correct. If you need to make any changes, use the links on the left hand side of the page.
  • To upload a new photo click ‘edit member image’ on the right hand side of the ‘Personal Details’ box.
  • A new window will open called ‘Update Member Image’, select ‘Choose File, upload your photo (making sure it meets the requirements listed above) and click save.
  • The photo should now appear in the ‘Personal Details’ box.
  •  Photographs:
    • Please only use a portrait orientation, passport style photograph for licensing purposes. This photo will be used on your licence card.
    • Photographs should be updated every 9 years, in line with licence renewals.
    • Your photograph should be no larger than 100×130 pixel, under 4MB
STEP 4 – Read and Agree to the Coach Licence Terms and Conditions
  • Log into your profile on Athletics Hub by clicking https://www.athleticshub.co.uk/login (you can use the links to access your URN or reset your password).
  • Click on your name at the top of the menu on the left-hand side of the screen to navigate to your profile.
  • In the ‘User Details’ section, scroll to licence terms and conditions for your role – leader and coach are both covered in ‘Coaches Terms and Conditions’.
  • Click the link to download and read the relevant terms and conditions.
  • Tick the relevant box (underneath the link) to accept the revised T&Cs
  • Scroll to the bottom of the page and click the blue ‘submit’ bar.

If you are a licensed leader/ coach and a technical official you will need to accept T&Cs for each role. If you are not a licensed technical official, you do not need accept these T & C’s.
